I. Ethical Standards
Defined.ai conducts business honestly and transparently. We expect our suppliers to:
- Uphold integrity, fairness, and respect in all activities.
- Avoid bribery, corruption, fraud, or misrepresentation.
- Treat confidential information with care and never disclose it improperly.
- Represent Defined.ai responsibly and not speak on our behalf without authorization.
II. Core Principles
Suppliers must follow the same values that guide Defined.ai:
- Transparency & Consent – Collect data only with informed consent, respecting all privacy laws.
- Privacy & Security – Protect data against unauthorized access or misuse.
- Fairness & Non-Discrimination – Avoid bias and discrimination in practices and datasets.
- Accountability & Explainability – Ensure AI models are traceable and explainable.
- Security & Mitigating Harm – Minimize risks of harm, including bias, adversarial attacks, or unsafe AI use.
III. Data & Compliance
Suppliers are responsible for handling data responsibly:
- Clearly state the purpose of data collection and retention.
- Allow individuals to access, correct, or delete their data when required.
- Anonymize or pseudonymize personal data whenever possible and feasible or necessary.
- Share data only with proper security measures in place.
- Report any suspected breach of this CoC or data protection obligations.
- Suppliers must also complete periodic compliance questionnaires and remain up to date with changes in law and regulation.
IV. Vetting, Professional Conduct and Human Rights
Defined.ai requires suppliers to maintain lawful and transparent relationships. All suppliers must:
- Implement controls to prevent and mitigate risks of misconduct.
- Respect human rights and labour standards across the supply chain.
- Avoid partnerships that could harm Defined.ai’s reputation.
- Escalate any red flags identified and cooperate fully in audits or investigations.
V. Sanctions
- Suppliers will not deliver datasets where its provenance is tied to countries sanctioned pursuant to EU's global human rights sanctions regime.
- Defined.ai Suppliers understand and comply with all applicable international trade controls (i.e., export controls, economic sanctions, and anti-boycott laws).
VI. Supply Chain Responsibilities
When entering new supply agreements, suppliers are expected to:
- Ensure accuracy in reporting and financial transparency.
- Cooperate in audits and provide required documentation.
- Preserve relevant records and never conceal, alter, or destroy information.
- Consider environmental impact and diversity in their practices.
VII. Intellectual Property & Data Governance
Suppliers must respect intellectual property rights and comply with licensing terms. They are expected to:
- Provide accurate documentation of data provenance and quality.
- Prevent unauthorized use of copyrighted material.
- Protect and secure data in line with GDPR and global standards.
- Ensure lawful collection and consent for all personal data.
VIII. AI Governance
Because AI is central to our mission, suppliers must commit to:
- Delivering datasets that are fair, reliable, and responsibly sourced.
- Supporting sustainable AI innovation that is safe and transparent.
- Following Defined.ai’s AI Ethics principles of fairness, accountability, and explainability.
- Maintaining continuous oversight of data stewardship and AI system impacts.
IX. Insurance & Risk Management
Suppliers must maintain appropriate insurance coverage, throughout the commercial relationship lifecycle.
